Upgrading or changing your plan
Library owners manage subscriptions from Plan & billing in library Settings. Upgrades take effect immediately; downgrades to a lower paid tier are scheduled for your next billing date. Moving to Free is cancellation — see Canceling your subscription.
Who Can Change the Plan
Section titled “Who Can Change the Plan”Only the library owner can change the subscription. Other admins may still see upgrade prompts when using gated features or when the library is near a limit, but those prompts explain that the owner must open Plan & billing in Settings to upgrade or manage billing. Admins do not see the Plan & billing settings row.
Where to Find Plan & Billing
Section titled “Where to Find Plan & Billing”- Open your library and tap Manage (top right)
- Tap Admin Dashboard
- In the admin portal, open Settings
- Tap Plan & billing
You’ll see your current plan, usage bars for books and active members, and the plan actions available to you. Member limits count active members (activity in the last 90 days or an active loan), not total members on the roster.
Upgrading to a Higher Plan
Section titled “Upgrading to a Higher Plan”Upgrades happen instantly so you get new limits and features right away.
Free → paid: On the Plan & billing page, pick Growth or Plus in the plan selector (toggle monthly or annual payments), then tap Upgrade Plan to open secure checkout.
Paid → higher paid tier: Select the higher tier in the plan picker on the same page (or open Change Plan to compare all paid tiers), review the prorated charge preview, then confirm.
The new limits and admin tools are active the moment the upgrade completes. Your billing date doesn’t change — you’ll still renew on the same day of the month.
How Prorating Works
Section titled “How Prorating Works”If you upgrade halfway through a billing cycle, you pay only for the remaining days at the new price, minus credit for what you’ve already paid. Paddle (our secure billing provider) calculates this automatically and shows you the exact amount before you confirm — no surprise charges.
Changing to a Lower Paid Plan
Section titled “Changing to a Lower Paid Plan”Use Change Plan when you want to move between paid tiers — for example, Plus → Growth. Change Plan does not include Free; use Cancel Subscription to end your paid plan (see Canceling your subscription).
- On the Plan & billing page, tap Change Plan
- Select the lower paid tier you want
- Review when the change takes effect (your next billing date)
- Tap Confirm downgrade (or review the preview first, depending on the step)
You keep your current plan’s features and limits until the end of the period you’ve already paid for. There’s no mid-cycle refund — you’ve already paid for that time, so you get to use it.
If you already have a scheduled plan change, Change Plan is disabled until that change takes effect. Cancel or adjust the pending change in the Paddle portal first.
If Your Library Is Over the New Limits
Section titled “If Your Library Is Over the New Limits”If your usage is above the target plan’s limits when you confirm — for example, 50 active members while switching to Growth — the app shows a warning describing what exceeds the new limits. The downgrade can still be scheduled.
When the change takes effect, if you’re still over those limits, your library enters a 14-day grace period to reduce usage. After that, the library is frozen until you bring usage under the new limits or upgrade again. Nothing is deleted automatically.
What Carries Over
Section titled “What Carries Over”Whether you upgrade or downgrade, your data stays put:
- Books, members, loans, reading progress, and history — all preserved
- Reading plans beyond the new limit are archived (not deleted) and reactivate if you upgrade later
- Featured books beyond the new limit are unfeatured but remain in the catalog
- Extra admins beyond the new limit need to be demoted to regular members first
Your library URL, settings, and member list never change between plans.
Switching Between Monthly and Annual
Section titled “Switching Between Monthly and Annual”Annual billing saves about 20%. To switch billing frequency:
- Tap Manage Subscription on the Plan & billing page
- The Paddle portal opens in a new tab
- Choose monthly or annual on your subscription
- Confirm
The change applies at your next renewal, and your tier (Growth or Plus) stays the same.
When you first subscribe from the Free plan, pick monthly or annual in the in-app plan selector before checkout.
